Tasks required:

  • Filter and organize incoming emails, prioritize messages, and respond to routine inquiries on behalf of the executive.
  • Manage and coordinate the executive’s calendar, including scheduling calls, meetings, and appointments, ensuring no conflicts and timely reminders.
  • Organize and maintain detailed to-do lists, ensuring all tasks are tracked and completed on time.
  • Research and book flights for business trips, ensuring all travel arrangements align with the executive’s schedule.
  • Research as needed for upcoming meetings, projects, or initiatives, providing concise reports or summaries.
  • Create presentations (PowerPoint), documents, and reports in support of executive meetings, presentations, and business needs.
  • Utilize MS Teams for communication and collaboration, and Outlook for managing emails, appointments, and tasks.
  • Provide ongoing administrative support, handling confidential and sensitive information with discretion and professionalism.
  • Other tasks as assigned

Requirements:

  • Proven experience as an executive assistant, virtual assistant, or similar role.
  • Proficient in MS Teams and Outlook, including calendar management, email filtering, and meeting scheduling.
  • Prior experience in a fast-paced or executive-level support role.
  • Strong organizational skills with an ability to manage multiple tasks and deadlines.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Attention to detail to ensure accuracy in scheduling, correspondence, and document preparation.
  • Ability to work independently and anticipate the needs of the executive.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Discretion and confidentiality in handling sensitive information.
  • Self-motivated with a proactive approach to problem-solving and task management.
